Copper CRM Integration: Xero and QuickBooks on Every Record

Copper is the CRM that sits inside Gmail. How Xero and QuickBooks invoices appear on its records, and why an email address decides which record they land on.

Copper is a CRM for relationship-focused businesses, built to work inside Google Workspace. It was founded in 2012 as ProsperWorks, took the name Copper in 2018, and is used by more than 30,000 companies. Its backers include GV, Google’s venture arm.

Google lists it as Recommended for Google Workspace, and it’s a Chrome Enterprise Partner. On Trustpilot, it rates 4.1 from more than 300 reviews.

Inside Gmail

Copper’s Google integration comes with every plan. A Chrome extension adds contacts and deals straight from Gmail, meetings link up from Calendar, and Drive files sync to the right contact. Reports export to Google Sheets.

The CRM itself tracks leads, people, companies, opportunities through pipelines, projects and tasks. Task automation is on every plan, and workflow automation arrives with Professional, the middle of three plans between Basic and Business.

On the AI side, Copper added an AI email rewriter in 2025 and CopperGPT in November 2025, which lets users ask questions about their CRM data from inside ChatGPT.

Accounting and other apps

Copper connects natively to Mailchimp, DocuSign, PandaDoc, Slack, QuickBooks, Xero and others, plus Zapier on every plan.

From won opportunity to invoice

Copper’s Xero integration lists current Xero invoices in the Related section of a lead, person, company or opportunity, and one click opens the invoice in Xero. It displays invoices and doesn’t create new ones.

Matching runs on email. A person’s invoices are found by their own address, a company’s by the addresses of everyone linked to it, and an opportunity’s by its people and the people at its companies. The QuickBooks integration works the same way for QuickBooks Online, adding estimates and the balance due. It reads the primary email only, never CC or BCC.

Raising the invoice itself happens in a workflow. Copper’s help center sets one up in Zapier: an opportunity moving into a stage such as “Send invoice” creates or updates the contact in Xero, then raises a sales invoice from the opportunity’s details.

One contact list across Copper and Google

The Google Contacts integration copies Copper’s contacts into Google under a “Copper” label, phone numbers included. It runs one way. Edits made in Google Contacts don’t come back, so Copper stays the master list. Google caps an account at 25,000 contacts, and the Google Contacts trash counts toward that.

Inside Copper, people are identified by email address and companies by email domain. An import carrying an address Copper already holds is skipped instead of duplicated. Leads have no unique identifier, though, so the same person can arrive twice, and a lead converted with no email, or a different one, can become a second person. A merge is final.

Copper’s developer API

Copper’s developer API is REST with JSON and comes with the Professional and Business plans. Admins generate API keys, and third-party apps sign in through OAuth 2.0. The API allows 180 requests a minute.

Webhooks report new, updated and deleted leads, people, companies, opportunities, projects and tasks, with up to 100 subscriptions per account. Custom fields can be created and managed through the API too, and each record type has its own search endpoint.

When the CRM isn’t the whole picture

Copper already lives in Gmail, so the useful links run from there to the other systems a team uses. A won opportunity can raise the invoice in Xero, a paid invoice can move the deal to its next stage, and a signed proposal can start the project with its tasks already set.

Copper’s own invoicing recipe is a Zap, and the limits of low-code chains show how far one stretches before it needs retries and somewhere to park the failures. Invoices typed up by hand from won opportunities are a red flag worth costing, and the automation ROI sum turns those hours into a figure.
