Google Drive Integration for Businesses on Workspace

Google Drive keeps files in shared drives that outlast any one employee. How integrations watch its folders, and how a supplier PDF becomes a bill in Xero.

Google Drive is the file storage behind Google Workspace. Storage is pooled across the business, from 30GB per user on Business Starter to 2TB on Standard and 5TB on Plus, and a single file can be up to 5TB.

Drive for desktop streams files on demand, so a laptop sees everything without downloading it all.

Shared drives

Shared drives belong to the organization rather than to one person, so files stay put when someone leaves. Every Business plan has them, Starter included since 2024, and a shared drive holds up to 500,000 items.

Admins decide how far files travel. They can limit sharing to trusted domains or warn people before they share outside the business, and link sharing can be switched off altogether. Version history keeps earlier copies, and an important version can be kept forever.

On Business Standard and Plus, files can be stored in a chosen data region, the US or the EU.

Giving AI assistants access to Drive

Gemini can answer questions using a business’s own files, mail, calendar and chats. Since April 2026, AI Overviews in Drive search summarize what the results say, on Business Standard and above.

Claude’s Google Drive connector searches Docs and reads Sheets, Slides, PDFs and Office files. It can upload files too, and checks with the user before sharing one or moving it to the trash.

Workspace admins decide which assistants get in. API controls in the Admin console give each third-party app an access level, from trusted down to blocked, for the whole business or one team.

Google’s own Drive MCP server, for AI agents that search and work with files, has been in developer preview since April 2026.

The Drive API

The Drive API creates, reads, moves and shares files and folders, including shared drives. An app can be limited to just the files it creates or is given, or granted wider access to a whole Drive, which for public apps comes with a security assessment. Inside a business’s own Workspace, an administrator can authorize an internal app for everyone at once.

Since May 2026, quotas are measured in quota units, a million a minute per project. Each user can upload up to 750GB a day.

Watching subfolders and shared drives

Integrations can watch for changes through push notifications, which say that a file or folder changed so the app can fetch the details. Each watch expires within a week and has to be renewed.

Since May 2026, the Google Workspace Events API also delivers Drive events through Pub/Sub, including new comments and replies. A subscription can cover one folder or a whole shared drive. With its includeDescendants option on, a PDF saved in Invoices/2026/October/Acme still raises an event for a subscription on Invoices.

An app also has to declare that it supports shared drives, or Drive leaves their files out of its answers. One on the narrowest permission sees only files it created or someone shared with it, so a folder of scans uploaded by the office manager stays hidden from it.

In Zapier, New File in Folder can optionally include subfolders, and its realtime version can watch an entire shared drive.

From a supplier invoice in Drive to a bill in Xero

Supplier invoices reach Drive as PDFs, from an office scanner or a Gmail automation that files attachments. Xero needs each one as a bill.

Xero’s own route covers invoices that arrive by email, where its AI “extracts the key details to create draft bills ready for approval”. Files already sitting in Drive go through the API instead. An integration picks up the new PDF, reads the supplier, invoice number, date, VAT and total, and creates a draft bill with the PDF attached. The bill’s source link, shown in Xero as “Go to” plus the app’s name, opens the original file in Drive.

The Labels API attaches structured metadata to files, like a document type or a status, which makes them easy to find and act on later. A label reading “Posted to Xero” marks a PDF as done, and one the integration can’t read cleanly goes to a review folder for a person. Checking the supplier and invoice number against existing bills keeps a re-saved PDF from becoming a second bill.

Documents as data

Drive holds the documents a business runs on, and each new file is a chance to move work along. A supplier invoice can become a draft bill in Xero, a signed contract can update the deal in the CRM, and a folder of scans can be read into searchable data that other systems can match against.

Pointing AI at a folder full of documents works better when the files are organized and consistent first. And if someone currently opens those files to copy figures into another system, the time it takes is worth adding up.
