Insightly CRM Integration with Xero and QuickBooks

Insightly, part of Unbounce, keeps sales and delivery in one CRM. How its native link and AppConnect reach Xero and QuickBooks, and turn won deals into invoices.

Insightly is a CRM for growing businesses, with marketing and customer service products built on the same platform. In July 2024 it was acquired by Unbounce, the landing page company, and it now operates as Insightly, an Unbounce company. Insightly says it’s trusted by more than a million users worldwide.

The family has four parts: Insightly CRM, Insightly Marketing, Insightly Service, and AppConnect for connecting other apps. Each is sold in Plus, Professional and Enterprise editions.

What the CRM tracks

Insightly records contacts, organizations, leads and opportunities, and carries a won deal on into a project, so delivery is tracked in the same place as the sale. Products, quotes and support tickets live alongside, and Professional and Enterprise add custom objects for anything a business needs that isn’t built in.

Workflow automation, on Professional and Enterprise, updates records, sends emails and starts integrations when something changes. In December 2025, Insightly added a conversational AI Copilot for asking questions about CRM data in plain language.

Insightly holds a SOC 2 Type II report, and its terms cover GDPR and UK data protection law.

Won opportunities to invoices

Billing is the other half of the handoff from opportunity to project. Insightly’s Xero integration runs through AppConnect. Invoices are created from inside Insightly and land in Xero for approval. If the customer isn’t in Xero yet, a contact is created there and linked to the Insightly record, and later updates sync back.

The record then carries an overview from Xero, with contact details and a financial summary. Xero’s App Store listing describes invoices and bills on a Xero tab of each contact, organization, project and opportunity, with new draft invoices raised from Insightly.

AppConnect is Insightly’s own no-code integration tool, with hundreds of ready-made connectors, priced by the number of tasks it runs. It’s how Insightly links to Xero, QuickBooks Online, Outlook, Mailchimp and Slack. Gmail users get a sidebar extension that shows CRM records next to each email.

QuickBooks also has a native link. The QuickBooks connector is set up by an administrator with an Intuit login, and shows customer summaries and invoice and payment statuses to chosen users. It supports one QuickBooks account and displays data without syncing it.

For syncing, AppConnect’s ready-made QuickBooks connector includes an automation that invoices opportunities closed as won, and it’s also the route to a second QuickBooks account. The third option is a direct connection between Insightly’s API, below, and the accounting system’s own.

API limits and sandboxes

Insightly’s REST API, version 3.1, comes with every plan and covers the CRM’s records, custom objects included. Requests use the account’s API key, sent to the regional server shown in each user’s settings.

It allows ten requests a second, with daily allowances that grow by plan: 40,000 on Plus, 60,000 on Professional and 100,000 on Enterprise. SDKs cover Java, .NET and Python, and Enterprise customers get separate sandbox environments for testing.

Webhooks come with Professional and Enterprise, fired from workflows when records change.

Keeping the CRM complete

Insightly carries a deal through to delivery, so the systems on either side of it are the natural places to connect. A won opportunity can raise the invoice and create the project with its tasks, and payment status from QuickBooks or Xero can sit on the record so sales can see who has paid.

Picking between the native link, AppConnect and a direct connection comes down to volume and to what should happen when a sync fails, and the trade-offs of low-code tools apply here too. A direct build also needs an owner once it’s live, and the build-versus-hours sum shows what retyping won deals into the accounts is costing now.
